Position: Administrative Assistant

The Administrative Assistant provides consistent, confidential, and professional administrative support for the Church Rector and Head of School in order to maintain the well-being of the St. Philip’s community. The administrative assistant plays an integral role in the day-to-day goings on of both the faculty and the student body and first line of communication between the Rector/Head of School and the wider community.

General Responsibilities

Promote the church and school mission, making it the center of all decisions and actions.
Support an atmosphere of trust and openness among parishioners, teachers, students, and parents.
Organize and review daily priorities for the church rector and head of school.
Schedule, maintain, and confirm the church rector’s and head of school’s appointments and calendar activities.
Manage student tardies and attendance during the course of the day.
Support monthly fire and emergency drills, at the instruction of the Head of School and Director of Facilities. 
Assist the church rector and head of school with work and events related to the vestry and board of trustees.
Responsible for weekly church bulletin, and any special services.  This involves gathering necessary information from Rector, Music Director and other contributors.
Support Rector in weekly electronic parish communications.
Support special church services by gathering a list of special offerings.
As necessary, make travel arrangements for the church rector and head of school.
Provide general clerical duties and administrative support to the church and school.
Manage and maintain office supplies and materials in the main office.
Manage all student ex-mission documents.  This includes file preparation for each 5th grade student, maintaining middle school log for each student, coordination between parents and middle schools for all documents, and submission of all requested documents to each middle school the 5th grade students have applied to.  These events are timely and critical.  
Maintain church family databases.
Keeper of “blue sheets”.
Prepare and manage campus spaces according to church and school calendars, scheduled events with the use of “blue sheets”.
Responsible for monthly mailing of all student birthday cards from Head of school.
Open and deliver the school’s mail.
Welcome guests.
Manage all guests on campus and ensure they have been properly checked-in and receive badge.
Coordinate and support extra-curricular and enrichment programs, including field trips and afterschool programs.
Assist in planning campus-wide events.
Assist with substitute teacher coverage.
Assume responsibility for other projects as assigned by the church rector and head of school.
Attend weekly administrative team meetings.


Qualification Requirements

Bachelor’s degree
5+ years' prior experience as an executive assistant to an administrator or corporate executive
Outstanding interpersonal skills
Dedication to a high level of confidentiality
Exceptionally capable in both written and oral communication
Excellent organizational skills while still exhibiting a high degree of flexibility
Technologically savvy
Able to make quick decisions, take initiative, and prioritize tasks
Passionate about the mission and vision of the church and school
Warm and personable with considerable patience
High-energy and enthusiastic about working in a church and school atmosphere
